The challenge

The machine was leaking

After seven years on HubSpot, Bear Fox's setup had calcified. Reporting was inconsistent and hard to pull, internal processes weren't aligned, and no one had visibility into what was actually working.

The real leak sat in the handoff between sales and marketing — nobody owned the seam, so leads and accountability fell through it. They needed a complete reset across both sides, fast.

The solution

What we mapped and installed

We ran a comprehensive rebuild of their HubSpot instance. It started, as it always does, with the map: aligning on definitions — what counts as a lead, an MQL, an SQL, and how the handoff should actually work.

From there we built dashboards to track lead sources, conversion rates, deal velocity, revenue, and sales performance; cleaned up contact, company, and deal properties; implemented lead scoring and routing; and tightened form and UTM tracking into scalable workflows.

Training was delivered as custom Loom videos so the team would actually keep using it after we handed over the keys.

The change was immediate. Reporting became clear and consistent, the teams aligned around one shared process, and workflows automated what used to be manual headaches.
